Tips & Insights

Practical AI and automation tips.

Simple ideas you can use in your organisation this week.

You probably already have what you need to start with AI

Many organisations put off AI because they think they need new computers or expensive software. For most organisations, this is not the case.

  • Most AI tools work in a web browser on the computers you already have.
  • If you use Microsoft 365, check which AI and automation features are already in your licences.
  • Start with one small task, such as summarising meeting notes. Then build from there.

Try this week: list three tasks your team repeats every week. One of them is likely a good place to start with AI or automation.

Why every automation needs a manual check

AI and automation save time, but they can make mistakes. If the information going in is wrong, the result will be wrong too.

  • Decide which work a person must check before it is sent or used.
  • Keep approvals for purchases, bills and payments with people.
  • Check automated figures against your accounting system regularly.
  • Never put personal or confidential information into a public AI tool.

Remember: automation should take away repetitive work. The responsibility stays with your team.

Make grant acquittals easier by tracking as you go

Acquittals are stressful when grant spending has to be pieced together at the end. A little set-up at the start saves hours later.

  • Code every grant transaction to its grant from day one. Use tracking categories in your accounting system.
  • Run a simple monthly budget versus actual report for each grant.
  • Keep an acquittal template for each funder. Record outcomes as they happen.

Result: when the acquittal is due, most of the work is already done.
